Rules for providing affiliation

Accurately stating institutional affiliation in scientific publications, conference presentations, and other forms of disseminating research results is a key element of author identification and has a direct impact on the evaluation of a unit’s research activity.

These guidelines define the standards for indicating affiliation with Jan Kochanowski University in Kielce, including association with the Doctoral School, in order to ensure consistency, visibility, and the proper attribution of academic output to the University.

on the rules for indicating affiliation in scientific publications authored by employees and doctoral students of the Jan Kochanowski University in Kielce

Pursuant to Article 23(1) and (2)(2) of the Act of July 20, 2018 – Law on Higher Education and Science (Journal of Laws of 2021, item 478, as amended), as well as § 28(1-2) and § 29(2) of the Statute of the Jan Kochanowski University in Kielce, the following is hereby ordered:

§ 1


This ordinance defines the rules for indicating affiliation in publications authored by employees and doctoral students of the Jan Kochanowski University in Kielce.

§ 2

The terms used in this ordinance shall mean:

1. University – Jan Kochanowski University in Kielce;
2. Affiliation – indicating, next to the author’s name in a publication, the official name of the Jan Kochanowski University in Kielce as the institution where the scientific research forming the basis of the publication was conducted.

§ 3

1. Employees and doctoral students of the University are required to indicate the University’s affiliation in publications of research results that were produced in connection with scientific research or development work conducted at the University.
2. Affiliation is provided by the author of the publication.
3. Affiliation should reflect the status as of the date of publication. An employee or doctoral student may not change the affiliation of a publication, especially in the event of a change in place of employment or continuation of education at another doctoral school.

§ 4

1. The author indicates affiliation by placing the official name of the University next to their first and last name in the publication.
2. The official name of the University to be used when providing affiliation is:

1) in Polish: Uniwersytet Jana Kochanowskiego w Kielcach;
2) in English: Jan Kochanowski University.

3. Additionally, the name of an internal organizational unit of a faculty or a unit other than a faculty may be added, for example:
Uniwersytet Jana Kochanowskiego w Kielcach, Instytut Nauk Medycznych
Jan Kochanowski University, Institute of Medical Sciences.

4. The official name of the University should be stated first, before the name of the faculty, internal organizational unit of the faculty, or unit other than a faculty.
5. Affiliation must not be included in biographical notes or footnotes.

§ 5

1. Publications are counted as part of the publication record of Jan Kochanowski University in Kielce only if they include affiliation to the University.
2. In the absence of affiliation information in the publication, the author must submit a declaration of the publication’s affiliation to the University. The template for the declaration is included in Annex No. 8 to Ordinance No. 110/2019 of the Rector of Jan Kochanowski University in Kielce dated October 31, 2019, on the rules for preparing and submitting data in the Integrated Information System on Higher Education and Science POL-on (as amended; consolidated text in Ordinance No. 18/2021).

§ 6

The ordinance shall enter into force on the date of its signing.
