Submission of the Doctoral Dissertation
At the Doctoral School Office, the following documents must be submitted:
- a list containing a complete record of the documents and scientific activities of the doctoral student within the scope of learning outcomes at Level 8 of the Polish Qualifications Framework (PRK) (Table No. 1);
- the doctoral dissertation in soft cover, printed double-sided and approved by the supervisor. Ordinance No. 1/2022 of the Director of the Doctoral School of the Jan Kochanowski University in Kielce of 28 March 2022 on the editorial requirements applicable to doctoral students of the Doctoral School of the Jan Kochanowski University in Kielce preparing doctoral dissertations shall apply;
- the supervisor’s opinion concerning the doctoral dissertation;
- a declaration authorising the University to report scientific or artistic achievements for the purposes of the evaluation of the quality of scientific activity conducted at the University; the template declaration constitutes Appendix No. 4 to the Regulations of the Doctoral School;
- the doctoral student ID card;
- a completed clearance form (Appendix) – required in order to collect the documents.
Following the submission of the above-mentioned documents, the doctoral student shall receive a Certificate of Completion of Education at the Doctoral School and may collect the diploma, certificate, and other documents submitted during the recruitment process.
Pursuant to the Regulations specifying the rules and procedure for proceedings concerning the award of the doctoral degree in a discipline, introduced by Resolution No. 27/2025 of the Senate of the Jan Kochanowski University in Kielce of 24 April 2025 amending Resolution No. 5/2021 of the Senate of the Jan Kochanowski University in Kielce of 28 January 2021 on the introduction of the Regulations specifying the rules and procedure for proceedings concerning the award of the doctoral degree in a discipline, the following documents must be submitted to the unit conducting the proceedings:
- an application for the initiation of proceedings for the award of the doctoral degree, constituting Appendix No. 1b to the Regulations;
- the doctoral dissertation – in 5 copies (including 1 soft-cover copy printed double-sided), together with an abstract, or a description of a dissertation that is not a written work, as well as their electronic versions saved on an electronic data carrier in PDF format. If the doctoral dissertation is not a written work, a description in Polish and English must be attached;
- the opinion of the supervisor or supervisors, or the supervisor and assistant supervisor;
- the report from the Uniform Anti-Plagiarism System;
- a certificate confirming completion of education at the Doctoral School;
- a certificate or diploma confirming proficiency in a modern foreign language at a minimum level of B2;
- documents confirming scientific achievements (publications in journals and publishing houses included on ministerial lists).
When submitting documents confirming scientific achievements, they must be documented in the form of a list generated and printed from the EXPERTUS UJK system.
Scientific achievements must be documented in the form of a list containing full bibliographic records (author’s first name and surname, title of the scientific monograph or scientific article, publisher’s name, place of publication, month and year of publication, ISBN, eISBN, ISSN, eISSN, ISMN or DOI number, and page numbers), together with originals or photocopies of the publications.
Artistic achievements must be documented by the artistic work itself together with a record of the work appropriate to its type and documentation of its public presentation (in paper and electronic form in PDF or JPG format).
In the case of co-authored publications, declarations specifying the individual contribution to their creation, both in percentage and descriptive form, must be submitted. The template declaration constitutes Appendix No. 3 to the Regulations specifying the rules and procedure for proceedings concerning the award of the doctoral degree in a discipline.
The application together with the documents listed in items 1–8 shall be forwarded to the Chairperson of the relevant Scientific Council.
