What is financed under PROJECTS FOR PhD STUDENTS?

Financial resources from the subsidy granted to the University are intended for conducting scientific research or artistic activities carried out by PhD students of Jan Kochanowski University in Kielce.

Who is the project aimed at?

Within the competition for PROJECTS FOR PhD STUDENTS, research projects carried out by PhD students enrolled in the Doctoral School of JKU may be financed.

On what principles are projects for PhD students financed?

A competition called PROJECTS FOR PhD STUDENTS is conducted to support scientific research or artistic activities carried out by PhD students in accordance with the topic of their doctoral dissertation.

What tasks should be completed as part of scientific research or artistic activities?

  • Conducting research necessary to submit an application for external funding of a research project,

  • Publishing research results in a journal listed in the ministerial list of journals and peer-reviewed conference materials valid on the date of application submission, along with the assigned number of points,

  • Publishing a monograph in a publishing house listed in the ministerial list of publishers of peer-reviewed scientific monographs valid on the date of application submission,

  • Undertaking a domestic or international research internship (at least 2 weeks),

  • Traveling to conduct research or scientific consultations,

  • Completing a course or training in the area of scientific activity,

  • Active participation in an international scientific conference or artistic event.

What is the maximum amount of funding?

The maximum amount of funding for PROJECTS FOR PhD STUDENTS is PLN 5,000.

What is the project implementation period?

The project must be completed by December 31 of the year in which the funds were awarded.

How many projects can be awarded in one calendar year?

A maximum of 50 projects are awarded per year, distributed among PhD students depending on their year of study according to the formula:

P1=50⋅(N1/N1+N2)

Where N1 is the number of 1st- and 2nd-year PhD students, and N2 is the number of 3rd- and 4th-year PhD students.

What is the procedure for submitting applications?

Applications for project implementation must be submitted by January 15 of the given calendar year to the Director of the Doctoral School, who performs a formal evaluation of the applications and verifies the points for scientific achievements reported in the applications according to the rules specified in Annex No. 6 to the Regulations.

Where can the application form be found?

The template for the application for a PhD student project is Annex No. 3.

What does the formal evaluation of the application involve?

Formal evaluation consists of assessing the completeness of the application and checking whether it meets all the rules specified in these Regulations.

Only applications positively assessed formally proceed to the next stage. Applications that do not meet formal requirements are returned to the PhD student.

Applications that meet the formal criteria are reviewed by the Scientific Council of the Doctoral School, which expresses its opinion in the form of a resolution separately for each application.

When does a PhD student submit a project progress report?

PhD students are required to submit a report on the project implementation by January 15 of the year following the one in which the funds were awarded.

Where should the report be submitted?

Project reports must be submitted to the Director of the Doctoral School.

Where can the report template be found?

The template for project reports is Annex No. 5 to these Regulations.

How are reports evaluated?

Report evaluation is based on:

  • The achievements resulting from the project,

  • The appropriateness of the tasks carried out,

  • The appropriateness of the financial expenditures in relation to the tasks completed.

REGULATIONS SPECIFYING THE PRINCIPLES OF FINANCING SCIENTIFIC RESEARCH, DEVELOPMENT WORKS, AND ARTISTIC ACTIVITIES FROM JKU FUNDS

§1

GENERAL PROVISIONS

  1. Financial resources from the subsidy granted to the University by the minister responsible for higher education and science, allocated for maintaining and developing research potential, including conducting scientific activity, in accordance with the Act – Law on Higher Education and Science of July 20, 2018 (Journal of Laws of 2024, item 1571, as amended), hereinafter referred to as the Act, shall be allocated for:

    1. SPECIAL PROJECTS – for activities aimed at improving the quality of scientific research or artistic activity conducted in specific fields of science and art;

    2. PROJECTS FOR PHD STUDENTS – for conducting scientific research or artistic activity carried out by PhD students of Jan Kochanowski University in Kielce;

    3. RESEARCH PROJECTS – to maintain continuity of ongoing scientific research and artistic activity;

    4. Maintenance of scientific research equipment, improvement of the quality of scientific and artistic activities conducted at JKU, and their dissemination;

    5. Commercialization of the results of scientific activity and related know-how;

    6. Mandatory civil liability insurance for medical experiments;

    7. Purchase or replacement of computers and peripheral devices for research purposes.

  2. Funds mentioned in items 1, 2, 3, 4, and 7 remain at the disposal of the Vice-Rector for Science.

  3. Funds mentioned in item 5 remain at the disposal of the Vice-Rector for Development and Finance.

  4. Funds mentioned in item 6 remain at the disposal of the Vice-Rector for Medical Affairs.

  5. The application for the purchase or replacement of computers and peripheral devices, constituting Annex No. 7 to the Regulations, shall be submitted to the Vice-Rector for Science within 14 days from the date of signing the research assignment. If the application is approved, within 14 days it shall be forwarded for substantive verification within the University project management system.

  6. Financing of projects mentioned in items 1–3 is conducted through competitions as follows:

    1. Competition for SPECIAL PROJECTS – for tasks aimed at improving the quality of scientific research or artistic activity, conducted individually by a University employee, including:
      a) Activities necessary for submitting an application for external funding of a research project, completed with submission within the year of project implementation;
      b) Publication of research results in a journal listed in the ministerial list of journals and peer-reviewed international conference materials valid on the date of submission, with a minimum of 140 points assigned;
      c) Financing the publication of a monograph in a publisher listed in the register of publishers of peer-reviewed scientific monographs;
      d) Short-term stay at a foreign research center to conduct research;
      e) Organization or public presentation of an artistic event of significant importance for visual or musical arts.

      The maximum amount of funding for a SPECIAL PROJECT is PLN 20,000, and the project must be completed by December 31 of the year in which the funds were awarded. No more than 30 SPECIAL PROJECTS may be awarded in one calendar year. An employee may receive funding for special projects once every three years.

    2. Competition for PROJECTS FOR PHD STUDENTS – for conducting scientific research or artistic activity by PhD students in accordance with their dissertation topic, including tasks:
      a) Conducting research necessary for submitting an external funding application;
      b) Publication of research results in a journal listed in the ministerial list of journals and peer-reviewed international conference materials, with points assigned;
      c) Publication of a monograph in a publisher listed in the ministerial list of publishers of peer-reviewed scientific monographs;
      d) Undertaking a domestic or international research internship (minimum 2 weeks);
      e) Travel for research queries or scientific consultations;
      f) Completion of a course or training relevant to the research activity;
      g) Active participation in an international scientific conference or artistic event.

      The maximum funding for a PhD STUDENT PROJECT is PLN 5,000, and the project must be completed by December 31 of the year in which the funds were awarded.

      In a given calendar year, the allocation of funds is determined according to the formula:

      P1=50⋅(N1/N1+N2)

      Where:

      • N1 – number of 1st- and 2nd-year PhD students,

      • N2 – number of 3rd- and 4th-year PhD students (excluding extended study),

      • P1 – number of projects allocated to 1st- and 2nd-year PhD students,

      • P2 – number of projects allocated to 3rd- and 4th-year PhD students.

    3. Competition for RESEARCH PROJECTS – to finance activities ensuring the continuity of ongoing scientific research or artistic activity. RESEARCH PROJECTS must be completed by December 31 of the year following the award of funds.

  7. The Vice-Rector for Science informs institute directors and department heads about the amount of funds allocated per scientific discipline for financing RESEARCH PROJECTS, in accordance with the rules specified in Annex No. 1, for each year of project implementation, after determining the subsidy funds allocated for research and artistic activity at JKU in the respective years.

§2

ELIGIBLE APPLICANTS

  1. Within the competition for PROJECTS FOR PHD STUDENTS, research projects carried out by PhD students enrolled in the JKU Doctoral School may be financed.

APPLICATION AND EVALUATION PROCEDURE FOR PHD STUDENT PROJECTS

  1. The project is intended for PhD students from years I to IV; it does not apply to students on extended study.

  2. If funds are allocated for services, research, analyses, or other work conducted by external entities, whose results will form part of the doctoral dissertation, the PhD student is obliged to include the appropriate acknowledgment in the dissertation.

  3. The template for the PhD Student Project application is Annex No. 3 to the Regulations.

  4. Applications must be submitted by January 15 of the given year to the Director of the Doctoral School and electronically to phd@ujk.edu.pl. The Director performs formal evaluation of the applications and verifies points for scientific achievements according to Annex No. 6.

  5. Formal evaluation consists of checking the completeness of the application and compliance with all rules specified in these Regulations.

  6. Only applications positively evaluated formally proceed further; incomplete or non-compliant applications are returned to the applicant.

  7. Applications meeting formal criteria are reviewed by the Doctoral School Scientific Council, which issues its opinion via a resolution separately for each application.

  8. Based on the Council’s opinion, the Chair prepares a list of evaluated projects.

  9. The list contains:

    1. Name of the project leader;

    2. Field(s) and discipline(s) of the project;

    3. Type of planned tasks;

    4. Project duration;

    5. Recommended funding amount;

    6. Information on the obtained opinion.

  10. The list of positively evaluated applications is forwarded to the Vice-Rector for Science.

  11. Based on this list, the Vice-Rector for Science (and for medical and health disciplines, in cooperation with the Vice-Rector for Medical Affairs) prepares a list of projects recommended for funding and submits it to the Rector.

  12. The Rector’s decision on project approval for funding is final.

§8

REPORTS ON PHD STUDENT PROJECTS

  1. PhD students must submit a project implementation report by January 15 of the year following the award of funds.

  2. Students submitting a dissertation or suspending study must submit the report beforehand.

  3. Reports are submitted to the Director of the Doctoral School.

  4. The report template is Annex No. 5 to the Regulations.

  5. Reports undergo formal and substantive evaluation.

  6. Formal evaluation is performed by the Director of the Doctoral School.

  7. Formal evaluation includes assessment of completeness.

  8. Reports failing formal requirements are returned to the project leader.

  9. Only formally approved reports proceed to substantive evaluation.

  10. Substantive evaluation is performed by the Doctoral School Scientific Council.

  11. Substantive evaluation is based on:
    a) Achievements resulting from the project;
    b) Appropriateness of tasks carried out;
    c) Appropriateness of financial expenditures in relation to completed tasks.

  12. Each report is evaluated by a separate resolution.

  13. Evaluated reports, along with the protocol, are promptly forwarded to the Vice-Rector for Science.

  14. Evaluated reports are approved by the Vice-Rector for Science (and, for medical and health disciplines, in cooperation with the Vice-Rector for Medical Affairs). A negative evaluation prevents the applicant from submitting a proposal in the next competition round.
