Which documents should I submit?

List of required documents in specific disciplines in accordance with the current regulation:

SECTION OF HUMANITIES

  1. Signed form printed from the candidate’s individual account in the system;
  2. Documents confirming the completion of studies a), b), c):
    • Original or copy of the diploma of completed uniform master’s studies with the supplement (in case of the supplement’s absence – student ID card) or
    • Originals or copies of diplomas of completed first and second-degree studies with supplements (in case of the supplement’s absence – student ID card) or
    • In the case of a person mentioned in § 1 para. 10 point 5), the original or copy of the diploma of completed first-degree studies with the supplement or a certificate of completing the third year of uniform master’s studies;

  5. Documents confirming scientific, artistic, or design achievements, as well as additional qualifications (documented according to the principles specified in Annex No. 3 – Scoring System).

Written opinion on the candidate prepared by a person holding a doctoral degree or the title of professor (electronic submission of the opinion in the form of a scan by the person providing the opinion to the Doctoral Students Section is permitted; the deadlines specified in the Recruitment Schedule apply).

** does not apply to candidates in the field of physical sciences.

  1. a) Individuals who have completed their studies in the academic year 2022/2023 must attach a certificate of completion of studies. The original or a certified copy of the diploma must be submitted no later than the day of the interview).
  2. b) Polish citizens who have completed studies abroad must provide:

– the original or authenticated copy of the diploma,

– certification of the completion of higher education studies, in the form of: a) legalization (usually performed by a Polish consul in the country where the document was issued. To do this, contact the consulate) or b) an apostille if the document was issued by an institution operating within the education system of a country that is a party to the Hague Convention of October 5, 1961, abolishing the requirement of legalization of foreign official documents (Journal of Laws of 2005, No. 112, items 938 and 939). An apostille can be obtained in the country that issued the document. The Hague Convention website contains a list of institutions issuing apostilles.

– a sworn translation into Polish or English of the diploma of higher education, legalization/apostille (if it is in a language other than English) or – in the case of translation abroad by a non-sworn translator – a translation legalized at a Polish diplomatic mission.

in the case of recognition of a foreign diploma as equivalent to a relevant Polish diploma and professional title through the nostrification procedure – a certificate issued by the nostrifying university along with the original diploma or a certified copy of the diploma attested for compliance with the original.

  1. c) Completion of studies at a specific level by individuals referred to in Article 327(3) of the Law on Higher Education and Science (Journal of Laws of 2022, item 574, as amended), who do not possess a diploma of completion of studies, may be confirmed through a procedure for confirming completion of studies at a specific level, conducted in accordance with separate regulations.

How to submit my documents?

You must submit your supporting documents by the deadline to which you are applying. Documents should be submitted as part of your application.

You are responsible for making sure that all required documents, including references, are submitted in time for the deadline and meet the University’s requirements. If your application is submitted late, and/or it is incomplete, it will not be assessed by the university admissions committee.

Check the documents you submit carefully. You cannot add revised versions once your application is ready for assessment.

You should not send documents that are not specifically required.

Please remember that your supporting documents must meet the specifications set out in Uchwała nr 22/2023 Senatu Uniwersytetu Jana Kochanowskiego w Kielcach z dnia 30 marca 2023 roku w sprawie zasad rekrutacji kandydatów do Szkoły Doktorskiej Uniwersytetu Jana Kochanowskiego w Kielcach w roku akademickim 2023/2024.

If your documents significantly differ from these specifications, they may be removed from your application and your application will be considered incomplete, and is unlikely to be assessed by the university admissions committee.

Should I post my paper documents to you when I apply?

There is no need to send in hard copies of your application materials when you apply. Any paper documents should be scanned and emailed to the Doctoral School office. If you have done so, there is no need to send hard copies at the application stage.

If it is not possible for you to scan your paper documents and email them, you should only post documents to us after you have submitted your application form, unless they would otherwise arrive too late for the deadline to which you are applying.

If your application is successful, you will be required to provide the original paper versions of documents you have scanned in. The Doctoral School office will be in touch to request these from you later in the process.

What about official documents not in Polish/ English?

If your official documents are in any language other than Polish/ English, you must submit the original official documents, and a translation of the documents into Polish/ English which is either:

  1. issued and stamped by the institution that issued your document, or
  2. translated by a professional translator and visibly certified – ie signed and stamped – by the professional translator or an authorised notary.

Any non-Polish/ non-English documents you attach to your application without a translation will be rejected.
